Privacy policy

What we store, why we use it, and how to ask for help with your data.

This policy explains how the ProTickete team handles information when you use our Discord bot, website, dashboard, and hosted transcripts. Server administrators also control their own ticket settings, staff access, and copies of conversations. Their use of that information is their responsibility.

Information we process

  • Discord account and server information: user and server IDs, usernames, display information, avatar URLs, server names, role and channel IDs, permissions, and server member totals needed to operate the bot and verify access.
  • Ticket records: ticket owner and channel details, opening reasons and form answers, creation and closing times, staff claims, feedback, message counts, and related configuration and activity records.
  • Ticket content: messages and attachment references read from Discord to display a conversation or create an HTML transcript. A transcript may contain member names, avatars, timestamps, message text, and linked media.
  • Dashboard sign-in: Discord OAuth information used to identify your account and list your servers. Access checks verify your Administrator permission and, when enabled, an active 24-hour vote. Voting never restricts Discord commands or ordinary ticket use.
  • Support and voting: information you choose to send to support, and Discord user IDs and vote details supplied through an enabled Top.gg voting integration.
  • Technical records: error and activity logs, component checks, uptime history, and aggregate usage. The hosting infrastructure may also process IP addresses, request details, and browser information when serving the website.

How information is used

We use information to create and manage tickets, apply permissions, provide transcripts and statistics, operate the dashboard, investigate errors, prevent misuse, and respond to support or deletion requests.

The public status page shows aggregate ticket, server, and member totals and service health. It does not expose individual ticket conversations or server ticket databases. A person in multiple servers can be included more than once in the member total.

The website can also display a public server directory containing connected server names, icons, member counts, and available online-count estimates. It does not include private ticket messages.

The project does not include advertising trackers. External links and services have their own privacy practices.

Who can see it

Ticket conversations are visible to the members and staff allowed by a server’s Discord permissions. Authorized administrators can view their server’s workspace. ProTickete operators and infrastructure providers may access stored information as needed to run, protect, and support the service.

Hosted transcript links are accessible to anyone who has the link. They do not require dashboard sign-in. Do not post them publicly if the ticket contains private information. Transcript attachments sent to Discord channels or direct messages are governed by access to those messages and by Discord’s retention and policies.

Discord, hosting providers, and optional services such as Top.gg process the information necessary for their respective features. We do not sell ticket content. We may disclose information where required by law or necessary to investigate abuse and protect the service.

Storage and retention

Hosted transcript files and their index entries expire six days after upload and are removed by scheduled cleanup. Restoring or regenerating a transcript creates a new hosted copy with a new expiry. Removing a hosted file does not remove copies already downloaded or sent to Discord.

Ticket databases, settings, statistics, feedback, and voting records are stored until removed through available controls or an operator’s deletion process. Removing the bot from a server does not automatically erase all stored history. The 24-hour dashboard voting window is not a promise that the vote record is deleted after 24 hours. We also store confirmation-message delivery status and the support-server roles assigned by the voting system so rewards can expire and resume correctly after restarts.

Operational status samples are retained for approximately 30 days; unresolved incidents may remain until resolved. Dashboard audit records are capped at the most recent 2,000 entries per server. Other hosting logs and backups follow the operator’s storage practices and may remain longer than the active data.

Panel image uploads are processed temporarily and sent to Discord; the project does not keep a permanent local upload library. Discord attachments may remain with the panel message, including after later text edits, until replaced or removed.

Cookies and browser storage

The dashboard uses an HttpOnly session cookie and temporary in-memory session data to maintain sign-in, with sessions lasting up to 12 hours. Sessions may end sooner after logout, expiry, or a server restart.

Theme and language preferences are saved in your browser’s local storage. Clearing website storage removes these preferences. Discord’s authorization page and other third-party sites may use their own cookies.

Dashboard audit and transcript records

Dashboard actions record the administrator’s Discord ID, username, avatar, time, affected resource, and relevant before-and-after settings. The latest 100 entries are shown to server administrators; up to 2,000 are retained per server. Raw panel image uploads and sign-in credentials are not included in audit entries.

Transcript search uses retained ticket metadata, such as owner, opening reason, form answers, staff who claimed or closed the ticket, dates, and transcript references. Resetting ticket settings preserves these records, statistics, and audit history; it is not a personal-data deletion request. Hosted transcript files still expire after six days. A new copy can be restored only while a Discord archive attachment or ticket channel is available. Contact support for deletion requests.

Your choices and requests

You can stop using the service, revoke Discord authorization, remove the bot if you manage the server, clear browser storage, or request access, correction, or deletion through support. Tell us which account, server, or transcript is involved. We may need to verify that you are authorized to make the request.

Your rights depend on applicable law. We will consider requests accordingly, including any need to retain limited information for security, legal obligations, or resolving a dispute. Server administrators are responsible for copies they keep outside ProTickete; contact them about those copies as well.

Only submit information needed for support. Do not send passwords, access tokens, or sensitive financial information in tickets. Use of Discord must meet Discord’s applicable age requirements.

Security and policy changes

We use permission checks, restricted administrator access, and session protections to limit access. No online service can guarantee that data will never be lost or accessed improperly. Report suspected security issues privately through support.

We may update this policy as the service changes. The date at the top identifies the latest version. Material changes will be communicated through the service or support channels where appropriate.
